Pillar 04 · Procurement & Device Management

Procurement & Device Management

Buying, holding, configuring and shipping devices and licences, run through the portal, with head office approving from wherever it is.

What it is

Buying IT is not hard; buying the right thing, at the right price, having it arrive configured, and knowing where it is a year later, is. We do the whole of that, and we run it through the client portal so that the person approving can be in London, or not.

We are an authorised reseller with live pricing from the distributor, which means the portal shows you today’s price and stock rather than a catalogue from last quarter. It also means we have no interest in selling you the wrong thing: the standard build is agreed once and everything after that is a click.

Two ways to hold devices

Your stock, held by us. You buy the devices, we keep them in our stock, configure them to your standard, and ship them the day they are needed. Good for companies that want to own their kit and have starters arrive ready.

A pool, held by us, billed monthly. We keep a small pool of pre-configured devices for you, sized to your rate of starters and failures, and bill for what is in it each month. Good for branches of overseas groups, where head office would rather see a monthly line than a capital purchase.

Both are described in the agreement and visible in the portal, so you always know what is where.

Who it is for
  • Companies that want new-starter kit to arrive configured, not in a box.
  • The UK branch of an overseas group, where head office approves and someone local has to make it happen.
  • Firms tired of catalogue browsing, price chasing and asset spreadsheets.
What is included

In plain words

  • Live distributor pricing in the portal, so a quote is a click, not a week
  • One approval, then we order, track and deliver
  • The whole list: laptops, desktops, Macs, iPads, phones, monitors, docks and peripherals, servers, network kit and cabling
  • Devices pre-configured before they ship: imaged, enrolled, ready to sign in
  • Device holding, in either of two models (below)
  • Asset register kept current; warranty claims, repairs, returns and disposals handled
  • Phones managed too: company apps protected, work and personal kept apart, a lost phone wiped
  • Software licences: Microsoft, Adobe, Exclaimer, Dynamics and the rest, right-sized monthly
  • Suppliers managed: contracts negotiated, renewals tracked, performance reported, fewer suppliers to deal with
  • Every order visible to the person who approved it, wherever they are
In the portal

How it shows up day to day

This pillar lives in the portal. You pick from live stock and pricing, approve, and watch the order through to delivery; the device joins your asset register when it lands. Head office overseas sees the same screen.

Senior engineer

Chooses the standard build and signs off anything unusual.

Assistant

Prices it live, raises the quote, tracks the order and updates the asset register when it lands.

The same job, both sides. An engineer decides; the assistant does the running around.

Questions

Questions people ask

What are the two device-holding models?
One: you own the stock, we hold it, configure it and ship it when asked. Two: we hold a pool of pre-configured devices for you and bill monthly for what is in it. Most clients pick one; some use both for different device types.
Do we have to buy through you?
No. We can hold and configure kit you buy elsewhere. Buying through the portal is usually quicker and no dearer, because the price comes straight from the distributor.
How quickly can a new starter be kitted out?
From held stock, the same week, configured. From new order, it depends on stock at the distributor, which the portal shows you before you approve.
