The honest starting point
Somewhere in your business, right now, people are using AI to write emails, summarise documents and tidy spreadsheets. That is not a bad thing; it is people trying to do their job faster. The question is not whether AI is in your business. It is whether it is managed.
Your information can walk out of the door
When someone pastes a client list, a contract or your figures into a personal AI account, that information has effectively left the business. No log, no way to get it back, and depending on the account it may be used to train the provider's next model. The digital equivalent of leaving a client file on a train, except you never know it happened.
AI that acts, not just answers
A new wave of AI "agents" can do things: send emails, change files, run tasks, using whatever access the logged-in person has. Brilliant when pointed at the right job. Dangerous when it is not, or when a booby-trapped document tricks it. The question shifts from "what did someone type" to "what is the software allowed to do on our behalf".

This is not going away; it grows every month. Meanwhile companies that set AI up properly start getting real time back. Do nothing and you carry the risk and miss the upside.
Four ways AI shows up in a business
Set up properly, the same technology takes the boring, repetitive work off your team, inside tools you can see and control. This is not about banning AI; you could not if you tried. It is about giving people a sanctioned way to use it.

It is a ladder, not a light switch. Most businesses are on rung one without realising. The goal is not to sprint to the top; it is to climb deliberately, with the safety rails on at each rung. Visibility comes first: a clear, current picture of what AI, data and tools are actually in use across the whole business. You cannot govern what you cannot see. On top of that sit the basics: knowing who your users are, controlling what they can reach, multi-factor sign-in, and a tidy, up-to-date Microsoft 365 environment. If those are not solid, adding AI pours petrol on existing gaps.
Guardrails, not roadblocks

- Seeing what is actually in use
Your Microsoft 365 environment can largely tell us which AI and cloud tools are in use, using Microsoft's own security tooling, nothing intrusive installed on people's machines. It is not just accounts: someone clicks "allow" on an app or a browser plug-in and hands an AI tool a standing door into your email or files. Finding those matters as much as finding the chatbots.
- Putting guardrails in place
Controlling who can use which AI tools, stopping sensitive data leaving where it should not, deciding which tools and connections are approved, and keeping a proper record of what has been done. The rule for agents: anything that can act is only ever switched on with your written approval of exactly what it may touch.
- A written AI policy, a quick early win
One page, plain English: what is fine, what is not, which tools to use. Cheap to do, disproportionately protective, and it gives your staff permission to use AI properly instead of guessing. Usually the first tangible thing you can hand your people, in week one, with the AI Starter Pack.
